How do I send my records to storage?
Office Services manages an off-site warehouse space for the storage of records that do not have to be accessed frequently but have to be kept for a certain period of time. AlanJohnson at alan.johnson@csu.mnscu.edu in Office Services manages our records retention system. He can be contacted at phone number 651-201-1585 or by email.
Records intended for off-site storage should be placed in record storage boxes which are available in the 6th floor copy room. Off-site storage boxes require an assigned box number and storage form. The storage form contains important information such as: the box number, who the box belongs to (person and dept.), a brief description of contents, whether it is public or private data, and a destroy date or "do not destroy" information (determined by using the Records Retention Schedule. The Office of the General Counsel can assist with questions). The storage form can be printed from this website (see link below) or obtained by contacting Alan.
Contact Alan Johnson in Office Services for box numbers. Once you receive the box number(s), fill out the form completely and make three copies (one for the box, one for your records, and one for Office Services' records). Tape the storage form to the end of the corresponding box. Let Alan know when the boxes are ready for transport. Once they are transported to the warehouse, they will be assigned a shelf location, placed in that location and entered into the Office Services' data base. If you later need to retrieve boxes from the warehouse contact Alan. Retrieval time is from same day to two days.
